South Sudan Study Hub – Content Upload Guidelines

The South Sudan Study Hub welcomes contributions of educational materials that support learning, research, cultural preservation, and knowledge-sharing across South Sudan and the region.
To maintain the quality, safety, and legality of our digital library, all users must follow the Content Upload Guidelines below.

By uploading any content, you agree to comply with these guidelines and the Platform’s Terms of Use, Privacy Policy, and Copyright Policy.


1. What You May Upload

We encourage users to upload high-quality educational content, including:

1.1 Documents

  • Textbooks

  • Study notes

  • Government publications

  • Curriculum documents

  • Research papers

  • Community guidelines

  • Academic articles

  • Assessments (past papers, sample questions, etc.)

  • Educational forms or templates

1.2 Media Files

  • Images (diagrams, educational posters, charts, maps)

  • Videos (lessons, tutorials, interviews, school performances)

  • Audio (lectures, cultural recordings, spoken-word lessons)

1.3 School & Institutional Content

  • Brochures, handbooks, newsletters

  • Program outlines, subject lists

  • Timetables and calendars (if not private)

  • Public reports

1.4 Cultural & Community Knowledge

  • Folktales

  • Translations

  • Oral histories

  • Heritage materials with permission


2. Prohibited Content

You may NOT upload:

2.1 Illegal or Harmful Content

  • Hate speech, discrimination, or harassment

  • Violence or explicit content

  • Defamation or harmful rumors

  • Content that exploits children

2.2 Copyrighted Material Without Permission

You must only upload content if:

  • You own it,

  • You created it,

  • You have permission, or

  • It is open-access/public domain.

Unauthorized uploads may be removed.

2.3 Personal or Sensitive Information

Do not upload content containing:

  • Private student records

  • Exam answer keys that violate school policies

  • Personal data (addresses, IDs, phone numbers)

  • Confidential institutional documents

2.4 Low-Quality or Misleading Content

  • Blurry or unreadable scans

  • Misinformation

  • Incomplete files

  • Incorrect metadata or false titles


3. Metadata & Proper Classification

To ensure materials are searchable and easy to use, every upload should include:

Required:

  • Correct title

  • Accurate description

  • Document or media type (PDF, video, audio, etc.)

  • Subjects or themes

  • Level or class (Nursery, Primary, Secondary, University, General)

  • Date or year (if applicable)

  • Source/creator attribution

Optional:

  • Language

  • Keywords

  • Institution or author bio

  • Location

Providing accurate metadata increases visibility and usability.


4. Attribution & Licensing

When uploading content, you must:

  • Include proper attribution to the author, institution, or creator

  • Indicate licensing terms (e.g., Creative Commons, public domain, school-approved use)

  • Not remove or alter copyright notices

If you upload your own work, you may choose how it is licensed.


5. Quality Standards

To maintain library quality, uploaded materials should:

  • Be clear and legible

  • Have complete pages

  • Be in widely accessible formats (PDF, MP4, MP3, JPG, PNG)

  • Include full chapters or sections when appropriate

  • Have minimal noise or distortion (for audio/video)

We may reject or remove poor-quality uploads.


6. Accuracy & Integrity of Content

Uploaded materials should:

  • Be accurate

  • Represent facts correctly

  • Avoid misleading or falsified content

  • Clearly distinguish between your own commentary and source materials

Do not upload AI-generated misinformation or fabricated documents.

AI-assisted content must be labeled if it is not original human-created work.


7. Respect for Students, Teachers, and Institutions

Content should not:

  • Embarrass or target individuals

  • Share private school incidents

  • Upload classroom recordings without consent

  • Include personal student information

Educational content must be respectful and appropriate for all audiences.


8. Review, Moderation & Removal

We reserve the right to:

  • Review uploaded content

  • Edit metadata for clarity

  • Remove content that violates guidelines

  • Suspend accounts that repeatedly violate rules

Moderation may be automated, manual, or both.


9. Reporting Problematic Content

If you encounter:

  • Copyright infringement

  • Harmful material

  • Incorrect metadata

  • Misclassified or inappropriate uploads

10. Liability & Responsibility

By uploading content, you acknowledge:

  • You are responsible for ensuring the content complies with copyright and legal requirements

  • You grant the South Sudan Study Hub permission to store, display, index, and share the content as part of the library

  • We are not responsible for disputes arising from improper uploads


11. Updates to These Guidelines

We may revise these Guidelines at any time.
Updates will be posted on the Platform and apply to all future uploads.
